Job Descriptions - Secretary


 

Term of Position

 

  • One Year

 

Purpose of Position

 

  • To provide the Board with a written record of discussion and decisions made at Board Meetings

 

Qualifications

 

  • Member of NSA/CO for one year

 

Responsibilities

 

  • Take minutes at each board meeting (include discussion)

  • Email minutes to board members in timely fashion (preferably within 1 week after the meeting)

  • If must miss a meeting, get someone to take minutes and email to all board members

  • Solicit, maintain and distribute current contact information for all board members

  • Assist president in making calls if a meeting is cancelled

  • Bring previous minutes (during current term and at least the previous year) to all board meetings

  • Be sure people who missed board meeting receive electronic handouts of any information passed out at the meeting

  • Complete annual affiliation agreement for NSA (due Sept. 1)

  • Assist the President as Secretary when needs arise

  • Serve on the Executive Committee and report to President 

 

 Competencies

 

  • Ability to process, organize and write verbal information quickly, efficiently and accurately

  • Record minutes on laptop or handwritten

  • Make the minutes interesting, as well as informative – so members will actually read them!

 

Attendance Expectations

  • Recommended attendance at all ten Board meetings  / Required attendance at seven Board meetings (average of three hours per month)

  • Required attendance at Board retreat (two days)

  • Recommended attendance at all NSA/CO monthly meetings (four hours per month)

  • Recommended attendance at all NSA/CO special functions (hours vary)

  • Recommended attendance at President’s Gala (approx. five hours)  

  • Recommended attendance at NSA National Convention (five to six days)
